Entrada Travels

Terms & Conditions

These apply to all tours, packages and travel services offered by Entrada Travels. Written in plain language on purpose: the point of this page is that you know where you stand before you pay anything.

1.About these terms

These terms apply to every booking made with Entrada Travels, whether the tour is a private departure, a corporate booking or a custom itinerary. By making a booking, or by paying any amount against a booking, the traveller confirms that they have read, understood and accepted these terms on behalf of everyone named in that booking.

Where a specific tour page, written quotation or proposal states something different from these terms, the tour page, quotation or proposal takes precedence for that booking only. Everything not covered there is governed by this page.

The person who makes the booking is treated as the lead traveller and is responsible for passing this information to everyone else in the group, and for all payments due against the booking.

2.Booking and confirmation

A booking is confirmed only when Entrada Travels has issued a written confirmation and the required advance payment has been received. A verbal discussion, an enquiry, a shared itinerary or a held quotation does not constitute a confirmed booking, and no vehicle, room or service is blocked until confirmation is issued.

An advance of 50 percent of the tour price is required to confirm a booking. The balance falls due before departure, and the exact date is stated on the tour page or in your written confirmation, because it varies between itineraries.

Accepted payment methods and account details are provided with your written confirmation. Prices are quoted per person unless stated otherwise, and are based on the group size, dates, vehicle and accommodation arrangement described in the quotation. A change to any of those elements may change the price, and the validity period of a quotation is stated on the quotation itself.

Bookings are subject to availability of transport, accommodation and any permits at the time of confirmation.

3.Pricing, inclusions and exclusions

Each tour page and written proposal contains a What Is Included section and a What Is Not Included section. These are the definitive statement of what the price covers. Any item, service or expense not specifically mentioned under What Is Included should be considered excluded.

Unless expressly stated otherwise for a particular tour, the following are never included in any Entrada Travels tour price:

  • Travel, health, accident and cancellation insurance
  • Personal medical expenses and the cost of any medical treatment or evacuation
  • Meals not listed as included, along with snacks, tea, coffee, soft drinks and bottled water
  • Personal expenses, shopping, laundry, telephone and internet charges
  • Gratuities and tips
  • Optional activities, whether arranged locally or in advance, including boating, jeep rides beyond the included service, buggy rides, paragliding, horse riding, cable cars and adventure activities
  • Entry fees and permits not listed as included
  • Costs arising from delay, cancellation, road closure, weather or any circumstance outside our control
  • Any expense of a personal nature

4.Force majeure and acts of God

Entrada Travels is not liable for any failure to perform, delay in performing, or change to any part of a tour, and is not liable for any resulting loss, damage, expense or disappointment, where that failure, delay or change arises from circumstances beyond our reasonable control. Such circumstances include, without limitation:

  • Acts of God and natural events, including earthquakes, floods, flash flooding, landslides, avalanches, glacial movement, rockfall, snowfall, storms, extreme weather, drought, fire and epidemics or pandemics
  • Road closures, bridge collapse, blocked passes, damaged or impassable tracks and traffic restrictions
  • War, threat of war, civil unrest, riot, strike, industrial action, terrorist activity or the threat of it
  • Government action, security restrictions, curfews, closure of areas to visitors, withdrawal or refusal of permits and changes to entry requirements
  • Flight cancellation, delay, diversion, schedule change or withdrawal of a route by an airline
  • Failure or disruption of utilities, communications or fuel supply
  • Any other event which could not have been reasonably foreseen or avoided

5.Additional costs arising outside our control

Where an event of the kind described above disrupts a tour, any additional cost required to continue the tour, to accommodate the group safely, or to bring the group home, is payable by the traveller or group and is not included in the tour price. Such additional costs may include:

  • Additional nights of accommodation
  • Additional meals
  • Alternative or replacement transportation
  • Additional 4x4, jeep or specialist vehicle arrangements beyond the included service
  • Route diversions and the additional distance, fuel and time they involve
  • Additional driver, crew or vehicle charges
  • Rebooking, rerouting or cancellation charges levied by airlines, hotels or other suppliers
  • Emergency arrangements, including evacuation and medical transport
  • Any other necessary expense caused by the disruption

6.Weather, road conditions and access

Travel in the mountains of Pakistan is dependent on weather and road conditions at all times of year. Routes, travel times, the order of sightseeing and the sequence of a day may change at short notice because of weather, road conditions, traffic, landslides, snowfall, flooding, construction, security restrictions or the instructions of local authorities.

Access to any high altitude lake, valley, pass, meadow, glacier or seasonal road cannot be guaranteed on any tour, even where the transport to reach it is included in the price. Where access is not possible for reasons of safety, weather, road condition or a decision of the local authorities, we will modify the itinerary or offer an alternative where one is reasonably available. Any additional cost arising from such a change is payable by the traveller or group.

All timings shown in any itinerary are approximate.

7.Changes to the itinerary

Entrada Travels reserves the right to modify the route, the sequence of activities, sightseeing stops, transport arrangements, accommodation and meal arrangements where reasonably necessary for reasons of safety, weather, road conditions, availability, local restrictions or operational circumstances.

Where a change becomes necessary we will provide a comparable alternative wherever it is reasonably possible to do so. A change of hotel to one of a similar standard, a change in the order of days, or the substitution of one sightseeing stop for another does not entitle the traveller to a refund.

Where the traveller requests a change to a confirmed booking, we will do our best to accommodate it. Any cost difference and any supplier charges arising from the change are payable by the traveller.

8.Cancellation by the traveller

Cancellations must be made in writing, and cancellation charges are calculated from the date the written cancellation is received. The charges that apply to your booking are set out on the tour page or in your written confirmation, and they increase as the departure date approaches.

Regardless of that schedule, any amount already paid on the traveller's behalf to an airline, hotel, transporter or other supplier which is non-refundable to us is non-refundable to the traveller.

Where one or more travellers cancel from a group booking, the price for the remaining travellers may be recalculated, because vehicle, accommodation and per group costs are priced against the original group size.

Unused services, including meals, nights of accommodation, sightseeing, transfers and activities that a traveller chooses not to take, or is unable to take, are not refundable and cannot be exchanged.

9.Cancellation or postponement by us

We may cancel or postpone a tour where it is not safe or not operationally possible to run it, including in any of the force majeure circumstances described above, or where a minimum group size stated at the time of booking is not reached.

If we cancel a tour before departure for reasons within our control, you may choose between an alternative date, an alternative tour of comparable value with any price difference adjusted, or a refund of the amounts you have paid us, less any amount already paid to suppliers on your behalf that is not recoverable.

If a tour is cancelled, curtailed or altered because of a force majeure event, we will refund what we are able to recover from suppliers and no more. We are not liable for consequential costs in these circumstances, including onward flights, connecting travel, accommodation booked separately or missed work.

10.Travel insurance

Travel and health insurance is not included in any Entrada Travels tour, and Entrada Travels does not provide, arrange or sell insurance.

Travellers are responsible for arranging their own travel and health insurance where required, and we strongly recommend that cover is arranged before departure. Where applicable, cover should be considered for:

  • Medical emergencies, illness and hospital treatment
  • Accidents and personal injury
  • Emergency evacuation, including helicopter or road evacuation from remote areas
  • Trip cancellation, curtailment and interruption
  • Delayed, damaged or lost baggage and personal belongings
  • Any adventure or high altitude activity you intend to take part in, which many standard policies exclude

11.Health, fitness and medical conditions

Travellers must be in a fit state of health for the tour they book and are responsible for satisfying themselves that the itinerary suits them.

Travellers must inform us at the time of booking of any medical condition, mobility limitation, allergy, dietary requirement, pregnancy or medication that may affect their participation or that we may need to know in an emergency. This information is treated confidentially and is used only to help us look after the group.

Northern Pakistan involves travel at altitude, on mountain roads, and often at a distance from medical facilities. Medical care in remote areas is basic, and evacuation can be slow and expensive. Travellers should carry their own regular medication in sufficient quantity for the whole trip.

Entrada Travels is not a medical provider and does not offer medical advice. Where a traveller requires medical attention during a tour we will assist in obtaining it, and the full cost of any treatment, transport or evacuation is payable by the traveller. We reserve the right to decline a booking, or to end a traveller's participation in a tour, where in our reasonable judgement their health or fitness makes participation unsafe for them or for the group.

12.Documentation, permits and restricted areas

Travellers are responsible for carrying valid identification. Pakistani nationals should carry CNIC, or B-Form for minors. Foreign nationals are responsible for holding a valid passport, visa and any No Objection Certificate or permit required for restricted or border areas, and for meeting the entry and registration requirements in force at the time of travel.

Our Azad Kashmir tours, which include the Chitta Katha Lake trek and any itinerary entering the Neelum or Shounter valleys, are open to Pakistani nationals and overseas Pakistanis only. Travellers on these tours must hold a valid CNIC, NICOP or Pakistani passport and carry it for the duration of the trip. We are unable to accept bookings for these tours from foreign passport holders. Where a booking is made on inaccurate information about a traveller's nationality or documents, and travel is refused as a result, the cancellation charges set out in these conditions apply.

Where we assist with a permit application, that assistance does not guarantee the permit will be issued. Entrada Travels is not liable for any loss where travel is refused or an area is closed because a permit is refused, withdrawn or delayed by the authorities, or because a traveller's documents are incomplete or invalid.

13.Personal belongings and valuables

Travellers are responsible for their personal belongings at all times, including in vehicles, hotels, camps and at sightseeing stops. Entrada Travels is not responsible for loss, theft or damage to baggage, cash, jewellery, phones, cameras, drones or other personal property.

Valuables should be kept with the traveller and not left in vehicles or unattended. Where a hotel offers a safe, use it. Baggage carried on any vehicle is carried at the traveller's own risk.

14.Conduct and local customs

Travellers are expected to behave in a way that does not affect the safety, comfort or enjoyment of others, and to follow the reasonable instructions of the tour leader, driver, guide or local authorities, particularly on matters of safety.

The regions we travel in are conservative. Travellers are asked to dress and behave with respect for local customs, to ask before photographing people, and to comply with all local laws. Alcohol and controlled substances are illegal in most of the areas we operate in, and travellers who carry or use them do so entirely at their own risk and responsibility.

We reserve the right to remove any traveller from a tour whose behaviour is, in our reasonable judgement, dangerous, unlawful, abusive or seriously disruptive to the group. In that event no refund is due and any onward costs are the traveller's own. Travellers are responsible for any damage they cause to vehicles, accommodation or third party property, and for settling such costs directly.

15.Accommodation, transport and meals

Accommodation. Hotels, resorts, camps and guest houses in remote areas do not operate to the standards of city hotels. Power outages, water interruptions, heating limitations and basic facilities are normal at altitude and are not grounds for a refund. Room categories, bedding configurations and room allocation are subject to availability at the property, and standard check in and check out times apply unless stated otherwise. Where an itinerary states a specific rooming or sharing arrangement, that arrangement is what the price is based on.

Transport. Vehicles are provided as described in the itinerary. Where road conditions require a change of vehicle type, or where a vehicle breaks down, we will arrange a suitable replacement as quickly as circumstances allow. Seat allocation within a shared vehicle is managed by the tour leader. Any 4x4 or jeep transfer is arranged with local operators and is subject to their availability and to road conditions.

Meals. Included meals are those listed in the itinerary. Menus in mountain areas are limited and set menus are common. We pass on dietary requirements notified at the time of booking, but cannot guarantee that every requirement can be met at every stop.

16.Children and minors

Travellers under 18 must be accompanied by a parent or guardian, who is responsible for their supervision, safety and behaviour throughout the tour. Where a tour is not suitable for young children, this is stated on the tour page. Please tell us the ages of children at the time of booking so that seating, rooming and pace can be planned properly.

17.Third party suppliers

Entrada Travels arranges tours using independent third party suppliers, including airlines, hotels, transport operators, jeep operators, guides, porters and activity providers. We select suppliers with care, but we act as an organiser and booking agent in relation to their services and we do not own or control them.

The services of these suppliers are subject to their own terms and conditions and to the laws of the country in which they operate. Entrada Travels is not liable for the acts, omissions, negligence, default, delay or insolvency of any third party supplier.

18.Liability

Entrada Travels accepts responsibility for arranging the services described in a confirmed booking with reasonable skill and care. To the fullest extent permitted by law, Entrada Travels is not liable for:

  • Death, injury, illness, loss or damage arising from circumstances beyond our reasonable control
  • Any act or omission of a third party supplier or of any person not employed by us
  • Any loss or damage arising from a traveller's own act, omission, negligence or failure to follow reasonable instructions
  • Any indirect or consequential loss, including missed connections, missed flights, loss of earnings, loss of enjoyment or costs arising from delay
  • Loss, theft or damage to personal belongings

19.Photography and media

Entrada Travels may take photographs and video during a tour and may use them for marketing, on our website and on social media. Travellers who do not wish to appear in such material should tell the tour leader at the start of the tour, or write to us, and we will exclude them.

Travellers are asked to obtain permission before photographing local people, and to respect restrictions on photography at religious, military and security sites. Drone use is subject to local law and to permission from the relevant authorities, and is the responsibility of the operator.

20.Complaints

If something goes wrong during a tour, please tell the tour leader, guide or driver immediately, and contact our office if it is not resolved. Most problems can be fixed on the spot, and we cannot resolve an issue we do not know about.

Any complaint that remains unresolved should be sent to us in writing as soon as possible after the tour ends, to info@entradatravels.com, so that we can investigate it properly with the suppliers concerned.

21.Data and privacy

Personal information provided at the time of booking is used to make the arrangements for your tour, including with hotels, transport operators, airlines and authorities where required, and to contact you about your booking. We do not sell traveller data.

22.Governing law and amendments

These terms are governed by the laws of the Islamic Republic of Pakistan, and the courts at Lahore have exclusive jurisdiction over any dispute arising from them.

Entrada Travels may amend these terms from time to time. The version in force on the date a booking is confirmed is the version that applies to that booking.

Questions about any of this?

Ask before you book rather than after. We would much rather explain a clause than argue about one later.
